Privacy Notice

1. Who this is

This privacy notice explains how Kharhulo Holdings (Pty) Ltd, trading as Karhulo Holdings ("Karhulo", "we", "us"), collects and uses personal information through karhulo.co.za, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

2. Responsible party and Information Officer

The responsible party for the personal information collected through this site is Kharhulo Holdings (Pty) Ltd, trading as Karhulo Holdings, registration 2026/236192/07.

Our Information Officer is Kgotso Mbhele. You can contact the Information Officer at kgotso@karhulo.co.za.

3. What we collect, and why

This site has three enquiry forms: the general contact form (used for general enquiries, and for enquiries about a specific motor spares part), the transport quote-request form, and the finance application form.

Every form collects:

  • your name
  • your phone number
  • your email address, if you give one
  • your explicit consent to this notice, recorded as the date and time you ticked the consent box

Each form also collects what it specifically needs to respond to that kind of request:

  • The general contact form collects your message, and — if you are enquiring about a specific motor spares part — which part you were asking about.
  • The transport quote-request form collects which vehicle type you are asking about, whether the trip is private or staff transport, one-way or return, your pickup and drop-off locations, your preferred travel date and time, the number of passengers, whether the trip is a one-off or recurring, and an optional message.
  • The finance application form collects the loan amount you are asking about (between R500 and R8,000), your preferred time of day to be contacted, and an optional message.

We also automatically record, at the moment you submit any of these forms:

  • the IP address your device was using
  • basic details about your browser or device
  • the page you submitted the form from

4. Legal basis

We process the personal information you type into a form — your name, phone number, email address, message, and any of the request-specific details listed in section 3 — on the basis of your consent, given when you tick the consent box on that form. This is the basis for the details you give us yourself, not the technical fields below.

We process the IP address, browser/device details and the page you submitted from on the basis of our legitimate interest in protecting the form against spam and abuse, and in keeping an accurate record of each enquiry. This basis applies only to those automatically-recorded technical fields.

5. Withdrawing consent, or asking us to correct or delete your information

There is no automatic or self-service way to do this on the site. To withdraw your consent, or to ask us to correct or delete personal information we hold about you, email the Information Officer at kgotso@karhulo.co.za. Requests like this are handled manually, not automatically, and we will confirm with you once it is done.

Withdrawing consent does not affect an enquiry we already handled before you withdrew it.

6. Who we share it with

We share personal information with:

  • Brevo, the email service we use to send and receive enquiry notifications. Brevo processes this information on our instructions, as our operator.
  • Our web hosting provider, who stores the site's database on our instructions, as our operator.
  • For a finance enquiry specifically, Mothego Finance (Pty) Ltd, the registered credit provider whose product Karhulo Financial Services introduces customers to. This applies only to a finance enquiry, not to enquiries made through the other forms on this site.

We do not sell personal information, and we do not share it with anyone else.

7. How long we keep it

We keep enquiry records for 24 months from the date of the enquiry, after which they are deleted.

8. Your rights

Under POPIA, you have the right to:

  • ask whether we hold personal information about you, and to see it
  • ask us to correct or delete personal information that is inaccurate, incomplete, or that we are no longer entitled to hold — see section 5 for how
  • object to us processing your personal information
  • withdraw your consent — see section 5 for how
  • complain to the Information Regulator, as described below

9. How to complain

If you are unhappy with how we have handled your personal information, please contact our Information Officer first, at kgotso@karhulo.co.za, so we can try to resolve it.

You may also complain to the Information Regulator for South Africa. Complaints under POPIA are lodged through the Regulator's eServices Portal at https://eservices.inforegulator.org.za.
